Palm Beach County has more gated communities per square mile than any other county in Florida. From the manned entrance at BallenIsles to the private-island access at Sailfish Point, every one of them has its own approved-vendor process, its own insurance requirements, and its own gate protocol. Palm Beach Home Watch works inside every one of them, and here is exactly how it works.
The Pre-Registration Process
Before service begins we submit a full vendor package to the community management office. Business license, Certificate of Insurance naming the community as additionally insured, W-9 and workers-comp documentation, and a photo ID for every inspector on the account. Most communities process this within a few business days. Some — particularly the ultra-luxury addresses — require an in-person meeting with the property manager before approval. We handle that end to end so the homeowner never has to.
Once approved, every inspector on your account is added to the community's permanent approved-vendor list. There is no per-visit call-ahead required at most communities, and gate entry is handled through the community's standard vendor procedure — either a permanent barcode or transponder where offered, or a documented visitor pass coordinated with the guardhouse.
COI to Every HOA
Every community we serve receives a Certificate of Insurance naming the HOA, master association, or building as additional insured. This is the single most requested document at community intake, and we provide it in advance rather than on request. When your community's insurance carrier or manager audits vendor files, our COI is already on file and current.
Community-Specific Protocols
Every gated community has quirks. Some require a call-ahead 24 hours before every visit. Some require the inspector to sign in at the guardhouse in person before proceeding. Some limit vendor access to specific hours. We document every community's protocol on the account so nothing is left to memory, and any protocol change from the community is captured and pushed to the field the same day.
